NewsOnline Backup Systems and SecurityPublished 02-02-2008How secure is an online backup system? That is the main concern for most people who are planning on using an online backup system for commercial purposes. In fact there is no reason to worry; an online backup system has features which will ensure that your valuable company data is kept safe from prying eyes. This article seeks to inform you on some of the security features contained in an online backup system and what you can also do to safeguard your data. Firstly you need to be assured that your information is secure even when it is being transferred to the remote (online) servers. Encryption is the best method to use. In technical language, encryption is the process of transforming information (referred to as plaintext) using an algorithm (called cipher) to make it unreadable to anyone except those possessing special knowledge, usually referred to as a key.” In simple terms this involves converting information into codes before it sent along a communication line. Only the sender with the encryption key can decipher this information to make sense. Thus you can be very sure that any unauthorized person would not be able to hack into the communication line to view your cash flow statements, company reports or any other vital company information that you send to be stored within the online backup infrastructure. When you subscribe to an online backup system, you are provided with a username and password. When logged in you should change your password. As long as you do not share this information with anyone, you can be best assured that your data is secure and safe. An important tip here is that you should always choose a very complicated password that would be difficult for any hacker to crack. Using the company name, or dates, places etc are not very good ideas for a secure password. The best password is one with a least six characters minimum and also contains a mixture of letters, words and other characters e.g. question mark, dot etc. This feature also known as authentication usually comes along with many online backup systems. You can even restrict access to your data via IP address, so should your password fall into the wrong hands then it is still not possible to restore your data. In addition to the fact that unauthorized personals are barred from accessing the data. Duplicate copies of the data are stored at multiple online and offline storage facilities by your online backup service company, for emergencies or in case of any system crash. Besides you do not have worry about losing any documents to theft as they are not stored in your company’s premises. Hope all your security concerns for choosing an online backup system for your company have been addressed. In fact many security concerns raised about using online backup methods are usually unfounded and rather are as a result of misconceptions and lack of understanding on how the online backup system works.
